Pilot privacy notice
What CollabCool collects and who can see it.
This notice describes the current 20–50 person pilot build. It is a plain-language product notice, not a final legal privacy policy.
Account and profile information
CollabCool uses your email for account access and institutional verification. Your email stays in the authentication system and is not shown as a public profile field. Your display name, verified institution, headline, bio, and avatar can be visible to other signed-in community members when provided.
Institutional verification
Institutional verification is optional. When you successfully verify a recognised institutional affiliation, CollabCool records it as a trust signal for the account. Graduation, a job change, or later loss of that mailbox does not automatically remove the verification.
Groups and discussions
Group names and descriptions can be discoverable. Group discussions are limited to members with the required access. Moderators and owners may retain access needed to moderate group content.
Reports and notifications
Moderation reports are visible to the person who made the report and the relevant group moderators or owner. In-app notifications are private to the recipient. Users can turn in-app notifications off from their profile.
Verification and moderation records
The pilot keeps records needed to support verification, moderation, group ownership, and account integrity. Exact long-term retention and deletion periods are still being defined before a broader launch, so this pilot notice does not promise a fixed retention period.
Questions or concerns
During the pilot, contact the CollabCool pilot organiser who invited you. Do not send passwords or verification codes to anyone, including the organiser.
